No mistake was made. You just met chargeable weight, the billing rule that governs nearly all air cargo in the world, including every flight from London Heathrow to Nairobi and from Guangzhou to Nairobi.

What Is Chargeable Weight in Air Cargo

Airlines sell space as much as they sell lift. A cargo hold fills up by volume long before it hits its maximum weight limit, so airlines protect themselves with a simple rule.

You pay for whichever is greater:

1. The actual weight of your cargo on the scale, in kilograms 2. The volumetric weight of your cargo, calculated from its size

The higher of the two is your chargeable weight. That is the number your per kilogram rate is applied to.

In short: dense cargo like machine parts bills on actual weight. Light but bulky cargo like shoes, pillows, wigs, or packaged snacks bills on volumetric weight.

The Volumetric Weight Formula

For air cargo to Kenya, the industry standard divisor is 6000. The formula is:

Volumetric weight in kg = Length x Width x Height in cm, divided by 6000

Measure the outside of each packed carton, including any outer packaging, not the product inside. Measure in centimetres. Multiply the three sides. Divide by 6000. That is the volumetric weight for that carton.

If you have multiple cartons, calculate each one separately and add them up. Airlines round chargeable weight up, usually to the next whole or half kilogram, with a minimum billable weight of 1 kg.

Example of the basic calculation:

A carton measures 60 cm x 50 cm x 50 cm.

60 x 50 x 50 = 150,000. Divided by 6000 = 25 kg volumetric weight.

If that carton actually weighs 20 kg on the scale, you are billed for 25 kg. If it actually weighs 30 kg, you are billed for 30 kg.

Four Worked Examples From Real Shipments

Example 1: Carton of clothes, UK to Kenya

Carton size: 60 x 50 x 50 cm. Actual weight: 20 kg.

Volumetric weight: 150,000 divided by 6000 = 25 kg.

Chargeable weight: 25 kg, because 25 is greater than 20.

At GBP 8.00 per kg plus GBP 25 handling, freight is 25 x 8.00 = GBP 200 plus handling, so GBP 225 before Kenyan duty and clearance.

Example 2: Phones and accessories, China to Kenya

Small dense box: 40 x 30 x 30 cm. Actual weight: 22 kg.

Volumetric weight: 36,000 divided by 6000 = 6 kg.

Chargeable weight: 22 kg, because actual weight wins.

At USD 15.00 per kg, freight is 22 x 15.00 = USD 330. Dense electronics almost always bill on actual weight, which is one reason they are ideal for air.

Example 3: Foam sandals, China to Kenya

Large light carton: 80 x 60 x 60 cm. Actual weight: 50 kg.

Volumetric weight: 288,000 divided by 6000 = 48 kg... wait, let us use a truly bulky case. Take a carton 100 x 80 x 70 cm with actual weight 50 kg.

100 x 80 x 70 = 560,000. Divided by 6000 = 93.3 kg, rounded to 94 kg.

Chargeable weight: 94 kg. Your 50 kg shipment bills as 94 kg. At USD 15.00 per kg that is USD 1,410 instead of USD 750. This is the surprise that catches importers who buy bulky low value goods by air.

Example 4: Spare part in a half empty box, UK to Kenya

Part weighs 8 kg. Supplier ships it in a 70 x 50 x 40 cm box with lots of filler.

70 x 50 x 40 = 140,000. Divided by 6000 = 23.3 kg, rounded to 24 kg.

Chargeable weight: 24 kg. You pay for three times the weight of the part because of the box. Ask the supplier to repack into a tighter carton and the billable weight can drop to 10 or 12 kg.

Why Airlines Use Volumetric Weight

An aircraft has two hard limits: how much weight it can lift and how much volume fits in the hold. On most flights the hold cubes out before it weighs out, which means bulky cargo denies the airline the chance to carry other paying freight.

The divisor of 6000 is effectively the airline saying: one cubic metre of hold space should earn revenue equivalent to about 167 kg of cargo. Sea freight uses a similar idea with CBM pricing, only with far lower rates per unit because a ship carries vastly more volume.

Understanding this helps you make better decisions. If your volumetric weight is far above your actual weight, you are buying a lot of air. Either compress the packing or consider sea freight, where volume is billed far more cheaply.

Seven Packing Tips That Lower Chargeable Weight

1. Measure the packed carton, not the product

Suppliers often quote product dimensions. The airline bills the packed carton. Ask your supplier for packed dimensions and gross weight per carton before you approve shipment. If they cannot provide them, ask us to measure at origin before export.

2. Remove retail air wherever possible

Original retail boxes, display trays, and double boxing add volume without adding sale value. For many products you can flat pack, nest items, or remove outer display packaging and still protect the goods. One importer of hair products cut volumetric weight by 30 percent simply by removing display boxes and vacuum sealing bundles inside the export carton.

3. Use the smallest safe carton

Every extra 5 cm on each side adds up fast. Going from 60 x 50 x 50 cm to 65 x 55 x 55 cm lifts volumetric weight from 25 kg to 32.8 kg, a 31 percent increase for the same goods. Ask suppliers to use tight cartons with proper cushioning rather than oversized boxes filled with paper.

4. Split dense and bulky goods

If you are shipping mixed goods, do not let one bulky carton inflate the perception of the whole shipment, and do not pack heavy and light goods together in a way that wastes space. Pack dense goods tightly in small cartons and bulky goods compressed separately. You pay per carton calculation, so efficient cartons pull the average down.

5. Compress soft goods

Clothing, textiles, pillows, and soft toys compress well. Vacuum packing or compression bags inside export cartons can cut volume by a third or more. Make sure compression does not damage the product, and confirm with your buyer that pressed packaging is acceptable.

6. Compare air volumetric cost against sea CBM cost

As a rule of thumb, if your volumetric weight is more than double your actual weight and the goods are not urgent, get a sea freight quote too. Sea LCL from China is billed per CBM from KES 62,000 per CBM with a 0.20 CBM minimum, which is often far cheaper for bulky goods. From the UK, consolidated sea is billed per kg at much lower rates than air. The 30 to 45 day wait can save more than half the freight.

7. Ask for a pre shipment volumetric check

Volumetric Weight Versus Sea Freight CBM

Importers often ask how air volumetric weight relates to sea freight CBM. They are cousins, not twins.

Air: L x W x H in cm divided by 6000 gives volumetric kg. You pay the greater of that and actual kg at the air rate per kg.

Sea LCL: L x W x H in metres gives CBM. You pay per CBM. From China that is KES 62,000 per CBM for general goods and KES 66,000 for sensitive goods, with a 0.20 CBM minimum.

A carton of 60 x 50 x 50 cm is 0.15 CBM by sea but 25 chargeable kg by air. That is why bulky goods that are painful by air are comfortable by sea. The same volume that costs hundreds of dollars in the belly of a plane costs a fraction in a shared container.

Common Mistakes That Inflate Air Freight Bills

Budgeting on scale weight alone. Always budget on chargeable weight. If you do not have dimensions yet, add a 30 percent contingency for mixed goods and confirm before paying your supplier balance.

Accepting supplier cartons without question. Suppliers optimise for their convenience, not your freight bill. Oversized cartons, extra inner boxes, and decorative packaging are common. Specify maximum carton sizes in your purchase order.

Forgetting the handling and clearance lines. Freight per kg is only one line. Handling per shipment, Kenyan duty, VAT, and delivery also apply. A small dense shipment can have a high per unit landed cost even with efficient packing because fixed handling is spread over fewer units.

Shipping air when sea would do. Urgent, high value, or perishable goods belong on a plane. Planned replenishment stock, heavy low value goods, and bulky items usually belong on a ship. When in doubt, ask for both quotes side by side.
